Tutor Profile Management

Project status: Shipped
Problem

People relied on tutor information they could not trust.

Solution

Redesigned tutor and supervisor workflows through clearer ownership, structured information, and connected profile context.

Strategy

Treated reliability as a workflow problem.

Impact
  • 500+ tutors supported

Problem

Fragmented profile ownership created unreliable information

What started as a profile redesign revealed a larger systems problem: ownership of tutor information was unclear. Tutors didn’t know what they were responsible for updating, supervisors filled gaps manually, and profile data became difficult to trust.

Solution

Clear ownership and organization made profile information easier to maintain

I redesigned tutor and supervisor experiences by defining ownership boundaries, reorganizing information, and clarifying which profile fields users could manage. Profiles became easier to update, easier to scan, and more reliable for supervision, matching, and day-to-day operations.

Key decisions

Reliable profile information required defining who owns what

  1. Clear ownership boundaries reduced stale information

    Tutor-managed information

    Editable fields

Tutor-managed profile fields: background, expertise, pronouns, preferred name, and contact details

    System-managed information

    Protected operational data

System-managed tutor profile fields: name, status, clearance, supervisor assignment, and semester data

    Challenge

    Unclear ownership created inconsistent information.

    Decision

Separated editable tutor fields from protected system data.

    Impact

Reduced stale information and protected operational data.

  2. Information organization improved scanability

    AfterTopic-based organization

Profile organized into topic-based sections: Basic Information, Status & Clearance, and Background & Matching

    Challenge

    Information was difficult to scan.

    Decision

Grouped profile data into topic-based sections.

    Impact

Made profile information easier to scan and maintain.

  3. Connected workflows reduced manual follow-up

Supervisor workflow with integrated tutor profile context

    Challenge

Tutor updates lived separately from supervisor workflows.

    Decision

Surfaced tutor profile data directly in supervisor workflows.

    Impact

Reduced manual follow-up by surfacing profile context where supervisors already worked.

Rapid exploration accelerated iteration

I explored patterns from existing products and used AI-assisted tools to quickly test organizational approaches before validating decisions with supervisors and developers.

Patterns researched

  • Edit interactions + autosave patterns

  • Profile identity + fast scanning cues

  • Managing additional emails and permissions

AI-assisted exploration

  • Idea exploration

  • Rapid iteration

  • Layout generation

Selected direction

Designed around different maintenance needs: tutors update information while supervisors scan and manage it.

Supervisor experience
Selected supervisor tutor profile modal with persistent identity, Contact Status and About tabs, and session actions

Three tradeoffs balanced tutor flexibility with system accountability

  • Tradeoff

    Optional ↔ Required photos

    Decision

    Required photos

    Why it mattered

Made tutors easier to identify across 500+ profiles

  • Tradeoff

    Editable ↔ Protected fields

    Decision

    Protected fields

    Why it mattered

Protected data used for matching and supervision

  • Tradeoff

    Separate ↔ Connected workflows

    Decision

    Connected workflows

    Why it mattered

Made tutor updates visible inside supervisor workflows

Final design

Clear organization and ownership made tutor information easier to scan and manage

Two role-specific workflows keep profile maintenance clear: tutors update what they own, protected fields stay system-managed, and supervisors see changes where they already work.

Impact

Improved information management reduced manual maintenance

The redesign targets higher profile completion, less manual maintenance, and stronger confidence in tutor data across 500+ tutors and the supervisors who rely on it every week.

  • 500+

    Tutors impacted

  • Tutor profile completion rate

  • Supervisor confidence in profile information

  • Reduced manual maintenance effort

What this project reinforced

This project reinforced that reliable product systems depend as much on ownership, responsibilities, and workflow design as they do on interface polish. When those foundations are clear, the UI can do its job: help people maintain information they are willing to trust.

  • Designing for systems

Extending an existing design system kept new patterns consistent with the rest of the product.

  • Collaboration over features

Balancing supervisor, tutor, and engineering needs required clear ownership rules in the UI.

  • AI as a tool

AI sped up layout exploration, but workflow and ownership decisions still needed team validation.
